Privacy Policy
Last updated October 12, 2026
This policy explains what information Cassus Brain collects, how it's used, and who it's shared with. It covers cassusbrain.com, the Cassus Brain app, and every chatbot powered by Cassus Brain, including chatbots on other businesses' websites. Cassus Brain is the property of Cassus Group LLC and is managed by Cassus Media, a non-affiliated sister company.
Information we collect
Account information. When a business sets up a workspace, we store the names, email addresses, and roles of its users, along with securely hashed passwords.
Business knowledge. Notes, documents (stored as text), links, and web pages a business adds to its workspace, plus the questions its team asks in chat.
Chatbot conversations. When you use a Cassus Brain chatbot, we save your messages, the replies, the date and time, and your IP address for the business that runs the chatbot. Chatbots may also ask for your name, email address, and phone number so the business can follow up with you. Sharing them is optional, and only email addresses and phone numbers that pass a validity check are saved.
Access requests. If you request access on cassusbrain.com, we collect the name, company, website, and reasons you submit.
Technical information. Our servers keep standard logs such as IP addresses, browser type, and pages requested, used for security and troubleshooting.
How we use information
We use information to run the service: to answer questions from a business's own knowledge, to show each business its chatbot conversations, to send account emails such as invitations and password resets, to respond to access requests, to keep the service secure, and to improve the platform. We do not use your information for advertising.
AI processing by DeepSeek
To generate answers, Cassus Brain sends your question or chatbot message, together with relevant pieces of the business's knowledge, to the DeepSeek API, a third-party AI service. DeepSeek is a separate company with its own terms and privacy practices, and its servers may be located outside the United States. We can't control how DeepSeek stores or uses the data it receives. Before sending, Cassus Brain tries to remove Social Security numbers and dates of birth, but this is a safety net, not a guarantee, so please don't share sensitive information. Some businesses choose to process their data on private Cassus hardware instead of DeepSeek.
Who we share information with
We do not sell personal information. We share it only as needed to run the service:
- The business you're chatting with, which can read its own chatbot conversations.
- Cassus Media, a non-affiliated sister company that manages Cassus Brain for Cassus Group LLC and may access workspace data to set up, support, and maintain it.
- DeepSeek, for AI processing as described above.
- Our hosting provider, which stores the service on its servers in the United States.
- Our email provider, which delivers account and notification emails.
- Authorities, if required by law or to protect the rights and safety of others.
Cookies and local storage
The app uses one essential cookie to keep you signed in. Chatbots store a conversation ID and your recent messages in your own browser so your chat is still there if you reload the page. You can clear this anytime by starting a new conversation or clearing your browser data. We don't use advertising or tracking cookies.
How long we keep information
We keep a business's workspace data, including chatbot conversations, for as long as the business uses Cassus Brain or until it deletes that data. Nightly backups are kept for up to 21 days and then removed. When a workspace is deleted, its data is removed from our servers and drops out of backups within that window.
Security
Each business's data is kept in its own private workspace, separated from every other business, with role-based access controls that decide who can see what. Data is stored outside the public web folder and sent over encrypted connections. No system is perfectly secure, but we work to protect your information.
Your choices
If you chatted with a business's chatbot and want your conversation removed, contact that business or email us and we'll help. Users of the app can ask us to access, correct, or delete their account information at any time.
Children
Cassus Brain is not meant for children under 13, and we don't knowingly collect their information. If you believe a child has shared information with us, please contact us so we can delete it.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it last changed.
